What closing deletes
Closing your account deletes your account and everything in it, immediately and permanently. It is one instruction, and every record your account owns is removed in the same operation rather than swept up afterwards by a job that has to run.Your books
Every dashboard, with its name, its base currency and its settings.
Your entries
Every transaction you have recorded, and every group you sorted them into.
Everything built on them
Widgets, insights, and any document still waiting to be reviewed.
Your account record
Your profile, your usage history, your permissions and your audit trail.
What closing does not cover
One thing sits outside that deletion, and it is worth stating separately rather than rounding into the sentence above. Analytics records are erased on their own schedule, not instantly. When you close your account we instruct our analytics providers to erase the copies they hold, and they complete that within 30 days. Your ledger itself is gone the moment you confirm. What we send analytics providers is listed in What we collect, and it carries no session recordings and no IP addresses. Billing records outlive the account, and that is a legal obligation on the payment provider rather than a choice. They record that a payment happened, not what is in your books. Those are three different promises and collapsing them into one would make
the strongest of them false. Your ledger is gone immediately, which is the
strong claim and it is true. The analytics erasure starts at the same moment
but completes on each provider’s own schedule. The billing record is somebody
else’s legal obligation.
Before you close
1
Export anything you want to keep
Once the account is gone, so is the ability to get a copy from it. See
Exporting your data.
2
Cancel your subscription
Cancelling and closing are separate actions, and neither triggers the
other. See
Managing your subscription.
How to close it
In the app, open the account menu and choose Settings, then select Data. At the bottom of the page, select Delete account, read what will be erased, and type DELETE to confirm. The confirmation shows what your account actually holds before anything is removed, because closure is permanent and a destructive action reached in one step is a destructive action reached by accident. When you confirm, you are signed out immediately and the deletion runs. If you would rather not use the product, email legal@myclerkbook.com from the address on the account and say that you want it closed. We confirm what is being removed before anything is removed.Your right to erasure
Erasure is a right under POPIA and under GDPR Articles 15 to 22, and asking for it costs nothing. We respond within thirty days and we will not ask you why. If you are unhappy with how we handle a request, you can complain to the Information Regulator of South Africa, or to your own supervisory authority if you are in the EU.More on retention and deletion
