Transactions are the core of myClerkBook. Every amount you track — money in, money out, or a free trial you’re watching — is a transaction.

Transaction types

Trials appear with an amber Trial badge. myClerkBook emails you 3 days and 1 day before a trial ends so you can cancel before being charged. When a trial converts to a paid plan, you can turn it into a recurring expense inline — the trial end date becomes the first due date.

Adding a transaction

There are three ways to create transactions:
Press N from any screen, or use the + button. The form captures amount, currency, vendor/source, date (defaults to today), type, groups, recurrence, and optional notes.Smart autocomplete activates after you type two characters in the vendor field. It matches your transaction history and a built-in catalogue of ~200 common services (Netflix, Adobe, AWS, and more) to pre-fill the amount, group, currency, and interval. For a known recurring vendor, entry takes under 10 seconds.
Upload a receipt or invoice and Claude Haiku 4.5 extracts the details for you. See AI document parsing.
Mark any income or expense as recurring to track its next due date automatically. See Recurring transactions.
Every transaction records whether it was created by you (manual) or by the Agent (agent). This field is set at creation and never changes — it’s a permanent audit trail.

Groups

Groups are your categories — user-created, colour-coded labels for organising transactions. They’re the primary axis for every filter, report, and chart.
  • Per-dashboard: Groups belong to one dashboard. A “Software” group on your Client dashboard is unrelated to one on your Personal dashboard.
  • Multi-group: A single transaction can belong to several groups at once — useful for a receipt that spans, say, both “Software” and “Travel”.
  • Inline creation: Create a group without leaving the transaction form — name it, pick a colour, done.
  • Reorder: Drag groups to set their display order.
Basic plan: up to 10 groups per dashboard. Premium plan: unlimited groups.

The transaction list

Open Transactions in the sidebar to see everything in one place. Search by vendor, and filter by group, date, type, and amount. Recurring transactions and trials carry badges so they’re easy to spot, and you can edit any transaction inline.
